Virtual assistant vs executive assistant: which one do you need?

Both work remotely and both take admin off your plate, but they are different hires. The difference is less about tasks and more about ownership, judgement and how much of your day they carry.

The short version

A virtual assistant usually completes defined tasks: data entry, research, scheduling from clear rules, inbox sorting, social media posting. They often work for several clients or part-time, and you tell them what to do.

An executive assistant works for one or two leaders and owns part of their workload: the calendar, the inbox, follow-ups, meeting preparation, sometimes projects. They decide many small things on your behalf within agreed rules, and they tell you what needs your attention.

The job titles are used loosely, so read the scope rather than the title. Some people called virtual assistants do excellent executive work, and some job ads for executive assistants describe data entry.

Scope side by side

  • Inbox: a virtual assistant sorts and flags; an executive assistant drafts and sends replies in your name and chases open threads.
  • Calendar: a virtual assistant books slots you approve; an executive assistant decides between conflicting requests using your priorities.
  • Meetings: a virtual assistant sends invites; an executive assistant prepares agendas and briefs and follows up on action points.
  • Projects: a virtual assistant does pieces of them; an executive assistant often coordinates small ones, such as an offsite or a vendor switch.
  • Information: a virtual assistant needs access to a few tools; an executive assistant usually needs broad, sensitive access, which raises the bar on trust and security.

Seniority and judgement

The main difference is judgement. An executive assistant has supported a manager or founder before and has learned which requests can wait, which ones cannot, and how to say no politely. That experience is what you pay more for.

Ask yourself how often you want to be interrupted. If you are happy to hand over tasks one by one and check the result, a virtual assistant fits. If you want someone to take a whole area off your mind and only bring you decisions, you are describing an executive assistant, and you should interview for judgement, for example with the scenarios in our interview questions.

The hiring process differs too. For a virtual assistant, a short test on the tasks you will hand over tells you most of what you need. For an executive assistant, add scenario questions about conflicting requests, a test that includes writing in your name, and reference calls with people they supported directly. Expect fewer suitable candidates and a slightly longer search for the executive role.

Hours and availability

Virtual assistants are often part-time or shared between clients, which is efficient for work that can wait. Executive assistants are usually full-time and overlap with a large part of your day, because calendars and inboxes move in real time.

For a remote hire this decides the location too. Candidates in Ukraine, Georgia, Armenia and Kazakhstan share most of a European working day; for US teams they can cover the morning on a later local shift. Check your own hours with the time-zone overlap tool.

The cost logic

Virtual assistants are commonly paid by the hour or by a package of hours, so cost follows volume. Executive assistants are commonly paid a monthly salary or retainer, so cost follows responsibility.

For reference: the US median for executive assistants is $76,590[1] a year, about $6,382[1] a month, and for administrative assistants $47,540[2] a year, both before benefits. Our own executive assistant vacancies for remote candidates pay $800–1,100[3] a month for full-time work under a direct contract. The executive assistant cost page and the cost of hiring calculator let you compare a remote hire with a local one.

A cheaper hourly rate is not cheaper if you spend an hour a day explaining tasks. Count your own time too.

A quick test for your workload

Answer these four questions with yes or no:

  1. Do you want someone to answer emails in your name?
  2. Do you want someone to decide between meeting requests without asking you?
  3. Does the work fill most of a working day, every day?
  4. Are you ready to give access to your inbox, calendar and documents?

Three or four yeses point to an executive assistant. One or two point to a virtual assistant, or to a part-time start that can grow. Use our delegation guide to turn the answers into a scope, then the job description template to advertise it.

Questions

Can a virtual assistant grow into an executive assistant role?

Often, yes. If the person shows good judgement on smaller tasks, give them one area to own, such as the calendar, and widen the scope step by step.

Is an executive assistant the same as a personal assistant?

The overlap is large. A personal assistant usually also handles private matters for one person; an executive assistant focuses on the work side. Say in the job ad which personal tasks are included.

Which is easier to hire remotely?

Virtual assistants, because the skills are easier to test and the access they need is narrower. Executive assistants take more care: you are hiring judgement and trust, so plan for scenario questions, a written test and references.

Should a small company hire a virtual or an executive assistant first?

Start from the workload, not the title. Many founders begin with a part-time assistant for defined tasks and move to a full-time executive assistant once the role clearly fills a day.
