What QuickBooks is for in this role
QuickBooks is accounting software that many small businesses, particularly in the US, use for invoices, bills, bank feeds and reports. For a bookkeeper it is the daily workplace: bank feeds, bills, invoices, reconciliations and the reports your accountant reads at month end.
What knowing QuickBooks really means
- Reconciles bank and card accounts and can track down a difference without forcing it
- Writes bank rules that help instead of quietly miscoding months of expenses
- Fixes undeposited funds, duplicate entries and wrong periods without breaking closed months
- Reads a profit and loss and a balance sheet, and spots what looks wrong
A short practical test
Give a sandbox company with an unreconciled account, a duplicated deposit and a payment coded as an expense. Allow an hour. Ask for corrected books and a short note on each fix. The note tells you more than the numbers.
How long a smart hire needs to learn it
Someone who already knows another accounting system is usually comfortable within two to three weeks. Bookkeeping knowledge itself takes far longer to build than the software. Give the person a real QuickBooks task on the first day, with someone checking the result, rather than a course.
Our rule of thumb from how the work breaks down, not a study.
What access to give
Invite the person with their own login and the narrowest role that fits the job, such as a limited or reports-only role, not the primary admin. Keep the bank connection and payment approval with an owner, and invite your accountant separately. Check the audit log now and then. Tell the person whether you use QuickBooks Online or Desktop, because they differ.

No published bookkeeper profile lists QuickBooks on Stafka today. Send the brief, we reply within one business day with a yes or a no.
Choose a country: shared hours
Bookkeeping has deadlines rather than shifts. A weekly rhythm and a fixed month-end date matter more than shared hours, apart from a short regular call with whoever approves payments.
Against a 9–17 client day in winter[3][4][5][6]; for New York, on a 9–18 local day or a 13–22 shift. Check your own office.
What it costs
We do not publish a pay band for bookkeepers yet: where a profile lists a monthly rate, that is what the person asks for. The BLS figure of $50,670 a year is for Bookkeeping, Accounting, and Auditing Clerks[2] across all industries: we have no separate figure for this niche. Paying through Deel adds $49 a month[7]; Wise and Payoneer also work.

How hiring through Stafka works
- Send the brief or post the job free. Name your accounting software, your country's tax setup, monthly transaction volume, and the accountant who reviews the books.
- Within 5 business days of a confirmed brief you get 3 matching profiles, or a plain no. Most apply through our Telegram bot with a written and a voice English task; each profile shows the English level (B1–C2); Silkstaff checks English on a live call before any client interview.
- You interview, choose and contract the person directly through Deel, Wise or Payoneer. Candidates never pay.
Questions
Do they need a QuickBooks certification?
It is a useful signal, but it does not prove judgment. A short test in a sandbox company shows more than a badge. Ask for both if you want, and rely on the test.
Should I pay more for a bookkeeper who already knows QuickBooks?
Our placement fee is the same either way. Prior knowledge matters most when nobody on your team can teach QuickBooks. Our rule of thumb for learning it: Someone who already knows another accounting system is usually comfortable within two to three weeks. Bookkeeping knowledge itself takes far longer to build than the software.
Where can I hire an affordable bookkeeper who knows QuickBooks?
The usual routes are a freelance marketplace, an agency with a monthly margin, or a direct hire in a lower-cost country. On Stafka it is a direct hire: you pay the person the monthly pay you agree with them, plus $2,500–3,000[1] once if you hire, with no monthly margin.
