What the week looks like at a law firm
A small firm's week is shaped by the court calendar and by billable hours. Hearings and filing deadlines are fixed; everything else moves around them. New enquiries arrive by phone and web form and need a conflict check and a quick reply before they go to another firm. Attorneys draft during the day and catch up on email at night, while time entries, invoices and client document requests slip until someone chases them on Friday.
What an executive assistant does for law firms
- Keep hearings, filing deadlines and client meetings in one calendar with reminders well ahead of each date
- Triage the partner's inbox and draft replies for scheduling, status requests and routine client questions
- Prepare the file before a client meeting: last correspondence, open tasks and outstanding documents
- Remind the partner to record time, then chase unpaid invoices using an agreed script
An executive assistant works for one or two senior people: their calendar, inbox, travel, meeting preparation and follow-ups. The job is judgment about what reaches the boss and what does not, so it suits owners who already lose hours every week to coordination.

How to test a candidate for a law firm
Send a partner's fictional week with a hearing moved at short notice, two clients who want the same slot and four emails. Ask for the new calendar and draft replies. Look for tone with clients, no legal opinions in the drafts, and the moved deadline flagged first.
What to keep in-house or check first
Legal advice, signing, court appearances and client-money decisions stay with your attorneys, and trust account access stays with whoever is responsible for it. Professional conduct rules usually make the lawyer answerable for anyone working on a file, including outside staff, so check your bar's guidance on outsourcing and client confidentiality before sharing matter files, and ask for a written confidentiality agreement.
General caution, not legal advice: check the rules that apply to you with a qualified adviser.

Choose a country: shared hours
Most of this work runs from a task list, so the person does not need your whole day. A few shared hours for the morning inbox review and urgent calendar changes are usually enough.
Against a 9–17 client day in winter[4][5][6][7]; for New York, on a 9–18 local day or a 13–22 shift. Check your own office.
What it costs
On our open vacancies this role pays $800–1,100 a month[3], paid by you to the person. The BLS figure of $76,590 a year is for Executive Secretaries and Executive Administrative Assistants[2] across all industries: we have no separate figure for this niche. Paying through Deel adds $49 a month[8]; Wise and Payoneer also work.

Questions
Can an executive assistant talk to a law firm's clients?
Yes, for logistics: scheduling, document requests, invoice reminders. Give them a short written rule that any question about the case or the likely outcome goes back to the attorney, and read their client emails during the first few weeks.
Can a remote assistant see client files at a law firm?
It depends on your bar's guidance on confidentiality and supervision of non-lawyers. Many firms start the person on scheduling and billing admin, then open matter folders one at a time, using individual logins, a confidentiality agreement and no local copies. This is general information, not legal advice.
Where can a law firm hire an affordable executive assistant?
The usual routes are a freelance marketplace, an agency with a monthly margin, or a direct hire in a lower-cost country. On Stafka it is a direct hire: you pay the person $800–1,100 a month on our open vacancies[3], plus $2,500–3,000[1] once if you hire, with no monthly margin.
