How much does a project coordinator cost?

The closest official US figure is $102,320[1] a year, about $8,527[1] a month: the BLS national median for project management specialists, before benefits. Read it as an upper reference. BLS publishes no separate line for coordinators, and this category also counts experienced project managers, so a coordinator who mainly tracks tasks and deadlines is usually paid less. The real budget depends on how much the person decides alone and how many live hours they must share with your team.

How to read the US figure

The median mixes people who keep plans and notes in order with people who run large projects. The project coordinator cost page shows the range from the 10th to the 90th percentile, and pay by state. For a junior coordinator, look towards the lower end of that range. For someone who runs projects alone, look at the median.

Whichever number you pick is a wage. Across US private industry, benefits make up 30%[2] of total compensation, which is why the same page shows a higher monthly employer cost.

Price follows decisions, not the job title

Titles overlap, so ask one question: who decides what happens when a deadline slips?

  • An operations or executive assistant notices and reports it. They keep lists, notes and calendars for one person or a small team. Usually the lowest cost; our guide to hiring an operations assistant explains the scope.
  • A project coordinator sees it coming, chases the owner, updates the plan and tells the stakeholders. You or a manager still decide the trade-offs.
  • A project manager decides: scope, budget, people and what gets dropped. The highest cost, and a large part of what the official median reflects.

Advertising for the third while needing the first means overpaying. The reverse means disappointment. Test for the level you need: turn a meeting transcript into tasks with owners and dates, build a simple timeline with dependencies, and talk through a project that slipped.

Four ways to buy the hours

An employee in your own market

Wage, benefits and recruiting, with the easiest overlap and the highest total.

A monthly agency or managed service

No large fee upfront, but a margin inside every monthly price, sometimes with supervision and replacements included. Our guide to placement fees and monthly agencies has the arithmetic.

A freelancer through a marketplace

Good for a single short project. On Upwork the client marketplace fee is up to 7.99%[3] of each payment, and moving a freelancer off the platform within 24 months costs 13.5%[4] of 12 months of estimated earnings. Someone juggling several clients may not be there when a blocker appears.

A remote contractor you hire directly

Pay, a payment tool and a one-time hiring cost. We do not publish an offer range for project coordinators yet. The nearest band we publish, for executive assistants, is $800–1,100[5] a month; take it as context, not a quote, since a coordinator who runs client projects alone may ask for more. Payment runs through Deel at $49[6] a month, or Wise from 0.23%[7] per transfer.

Overlap: the cost most budgets miss

A coordinator works only if they overlap with the busiest part of your team's day, because stand-ups, blockers and client calls happen live. A later shift costs the person something, and a fair offer reflects that. By the clock:

  • Ukraine: a 13:00 to 22:00 shift in Kyiv covers 6:00 to 15:00 in New York, and a normal day covers a European day.
  • Georgia: a 13:00 to 22:00 shift in Tbilisi covers 4:00 to 13:00 in New York in winter; a normal day overlaps most of a London or Paris day.
  • Armenia: Yerevan keeps the same clock as Tbilisi, UTC+4 all year.
  • Kazakhstan: strongest for European teams; a local day from 11:00 to 20:00 overlaps seven hours of a Paris day in winter.

Try your own hours in the time-zone overlap tool. If your team needs a coordinator through the whole US afternoon, these countries mean a night shift, and a hire closer to home will last longer.

Does a coordinator pay for itself?

A coordinator saves senior people's time and reduces slipped deadlines. The first is easy to estimate; be sceptical about the second.

Payback sheet

Time saved: [hours a week you and your leads spend chasing status and writing notes] × [what an hour of that time is worth] × 48 weeks = [A]

Slipped work: [late projects a year you could have avoided] × [what one costs in rework, discounts or lost work] = [B]

Cost: [monthly pay] × 12 + [payment tool] × 12 + [hiring cost] + [software seats] = [C]

Decision: if A alone covers C, hire. If you need B to make the sum work, start part-time or with one project.

When a coordinator, or we, are the wrong choice

  • You run one or two simple projects. A good task board and an assistant for a few hours a week may be enough.
  • The work needs deep domain knowledge or a presence on site. Hire locally.
  • You need someone to own scope and budget. That is a project manager, a more senior hire than this guide prices.
  • You want a delivery team. An agency sells outcomes; Silkstaff only helps you find one person whom you then manage.

If one person is what you need, posting a job is free; pricing shows when a fee applies. You can also browse anonymous profiles or send the tasks, hours and budget through Get 3 matching profiles. Our open vacancies today are for assistants and customer support, so for this role we reply within one business day with a yes or a no. Most candidates apply through our Telegram bot with a written and a voice English task, each profile shows the English level (B1–C2), and Silkstaff checks English on a live call before any client interview.

Silkstaff's fee is a one-time $2,500–3,000[8] on the start day. If the person leaves or does not work out within 180[8] days of the start date, Silkstaff replaces them free of charge: one replacement per placement, once the fee has been paid and as long as the role, hours and pay stay as agreed. The fee itself is not refunded.

Questions

What is the average project coordinator salary in the US?

BLS has no line for coordinators alone. The closest category, project management specialists, has a national median of $102,320[1] a year and includes project managers, so coordinators are usually paid less. The cost page shows the full range.

How much does a remote project coordinator cost?

It depends on scope, hours and experience, and we do not publish an offer range for this role yet. For context, our executive assistant vacancies pay $800–1,100[5] a month. See local wage data on the Ukraine page and the other country pages.

Is a project coordinator cheaper than a project manager?

Usually, yes. A coordinator tracks, chases and reports, while a project manager decides on scope, budget and people. If nobody on your team makes those decisions today, a coordinator alone will not solve that.

Can a project coordinator work part-time?

Yes, for one or two projects, as long as the hours sit inside your team's busiest part of the day. Fix the hours in the agreement, because a part-time coordinator who is offline during stand-ups soon falls behind.
